Corporate AV Production FAQ

What agencies, corporate event teams, and venues ask us before booking technical production.

What AV equipment does Ramar Event Productions own in-house?

Our inventory covers 4K projection and seamless switching, LED video walls at multiple pixel pitches, PTZ and manned camera packages, line-array and point-source audio systems, wireless microphone systems, ClearCom intercom, media servers and show control, staging and truss, and power distribution. Owning the inventory means the spec you approve is the spec that arrives — we are not brokering gear from a third party at the last minute.

What regions do you cover for corporate AV production?

We produce corporate events from Vermont down through Florida, covering New England, the New York metro area, the Mid-Atlantic, the Southeast, and Caribbean destinations. Our production facility is in Torrington, Connecticut, and we travel crew and inventory throughout that corridor rather than subcontracting to unfamiliar local vendors.

Can you support hybrid events with remote attendees?

Yes. Hybrid delivery is a standard part of our corporate AV packages. We provide multi-camera capture, live switching with lower-thirds and graphics playback, and encoding to Teams, Zoom, YouTube, or a custom RTMP destination. A dedicated stream engineer monitors the encode for the entire program, and we deliver recorded ISO files after the event.

How far in advance should a corporate event be booked?

For general sessions and multi-day conferences, three to six months gives adequate time for site survey, technical design, and rehearsal scheduling. Single-day meetings and smaller programs can often be produced on four to eight weeks of notice. During peak event season, earlier booking meaningfully improves crew and inventory availability.

Do you provide a show caller and technical crew, or just equipment?

We provide full crew. A typical general session includes a show caller, audio engineer (A1), video engineer (V1), lighting operator, and stage manager, scaled to the size of the program. Equipment-only dry hire is available for clients with their own technical staff, but our standard engagement is a fully crewed production.

How do you handle redundancy for high-stakes programs?

Critical paths get backed up. That means redundant playback machines with mirrored content, backup switching paths, spare wireless frequencies coordinated in advance, and standby amplification. For product launches and executive briefings we also run cue-to-cue rehearsals so every transition has been executed at least once before the audience is in the room.

Can you work alongside a venue in-house AV department?

Regularly. Many venues have house systems that cover ordinary meetings but not a full general session. We interface with existing house audio and video, add supplemental line array, projection, or LED, and coordinate directly with in-house engineering on rigging, power, and load-in scheduling. Venues can also set up a preferred partner arrangement with us.

Do you integrate AV with scenic, lighting, and staging?

Yes, and this is the main reason clients consolidate with us. Our AV, lighting, scenic fabrication, draping, and tent production are all delivered by one company from one facility. That removes the vendor-to-vendor coordination gap where LED walls do not fit the set, rigging points conflict, or lighting washes out projection surfaces.

What does corporate AV production cost?

Investment depends on room size, audience count, program length, and whether the event includes LED, hybrid streaming, or custom scenic. We scope every event individually and present tiered options so you can see what changes between an essential build and a flagship one. Contact us with your date, venue, and audience size for a specific proposal.

How quickly do you respond to inquiries?

We reply within 24 to 48 hours during peak event season. If your timeline is urgent, call or text 860-318-5557 and you will reach the team directly.
